How a brief becomes
a finished deliverable.
End to end.

The partner portal, the brief intake, the production flow, the review loop, the hand‑off. Six pages of operational detail compressed into one. If you want to know what working with us actually looks like — this is it.

The partner portal

Every job, every status,
in one place.

The portal is the operational heart of every partnership. It's where briefs are submitted, where jobs are tracked, where deliverables drop, and where SLAs are logged.

It's also branded as your agency — your team's logins, your colours, your team can see all jobs across every client. It is the only place where the "WhiteLabelSEO" name appears.

Brief intake

Three ways to brief us.
All run on the same SLA.

No one‑size brief template. Send us whatever's fastest for you — a Loom, a portal form, or an existing brief you've used elsewhere. The 4‑hour acknowledgement SLA starts the moment the brief arrives, regardless of format.

Option 01 · fastest

Send a Loom

The default for most partners. Open Loom, walk us through your client's situation, what you've sold, and what you need — 2 to 5 minutes is usually enough. We extract the brief.

~5 min from your side
Option 02 · structured

Portal form

One‑page brief in the partner portal: client name (encrypted), service tier, deliverable scope, brand assets, deadline. Best for partners who want a paper trail.

~12 min from your side
Option 03 · already have one

Forward an existing brief

If you already have a brief template you use internally — Notion page, Google Doc, Asana ticket — just forward it. We work against whatever format you use.

~2 min from your side
Production flow

Five stages
between brief and inbox.

Every job — retainer or project — passes through the same five‑stage internal workflow before it leaves our shop. The partner review at stage 4 is non‑negotiable.

Day 0

Brief intake

Acknowledged inside 4h. Scope confirmed, owner assigned, start date posted.

Day 1–2

Scope & plan

Named lead writes a short internal scope. If anything's unclear, we ask once — batched, not weekly.

Day 3+

Production

Specialist team does the work. Status live in portal. Daily Loom updates available on request.

Pre‑ship

Partner review

Deliverable lands in your inbox first. Always. Revisions in scope, unlimited. You decide when it goes to the client.

Ship

Hand‑off

Final version branded, exported, ready to forward. Loom walkthrough available for your client call.

Every deliverable format

Six deliverables.
All formats listed.

No "we'll figure out the format on the way." Every deliverable type has a standard format set, with editable source files included so you can adapt on your side if needed.

Communication channels

Four ways we talk.
You pick one.

No "you can reach us on Slack, email, WhatsApp, our portal, our voicemail, our pigeon line." One canonical channel per partnership — chosen by you in the onboarding kickoff. We work the same way against all four.

Shared Slack
most partners
A single dedicated channel between your team and ours. Real‑time when needed; SLA still applies.
Email threads
2nd most common
Subject‑per‑project, your team CC'd as needed. Cleanest paper trail if you're ISO‑audit minded.
Notion / Linear
design + dev shops
We work inside your project board. We're a guest with scoped access; no leakage between projects.
Portal‑only
paper‑trail partners
All communication happens inside the partner portal. Every message logged, every SLA stamped.
